Who we are
Forwardwise Partners Ltd (“Forwardwise Partners”, “we”, “us”) is a business-improvement consultancy based in Basingstoke, Hampshire. For anything to do with your personal information, email forwardwisepartners@gmail.com.
What we collect
When you contact us through this website or by email, we collect the details you choose to give us: your name, business name, email address, the size of your team, how you heard about us and your message.
Website enquiries are stored in a Google Sheet in our Google account and we’re notified by email (Google is our service provider for this).
This website does not currently use analytics or advertising trackers.
Calls, recordings and transcripts
With your agreement, we may record video or phone calls (including the initial conversation and client sessions) and create a written transcript and notes from them. We’ll always ask at the start of the call, and you can say no or ask us to stop recording at any point. Declining doesn’t affect the service you get.
We use recordings and transcripts to keep an accurate record of what was discussed, prepare follow-up notes and actions, and avoid asking you to repeat yourself. We don’t use them for marketing or share them outside the business except with the service providers below.
AI tools
We use AI tools to help transcribe calls, summarise notes, draft documents and analyse information you share with us about your business. A person at Forwardwise Partners always reviews the output, and we don’t use AI to make decisions about you that have legal or similarly significant effects.
We only use AI services on business terms that don’t allow the provider to train their models on your information. We avoid putting more personal information into these tools than the task needs. If you’d prefer we don’t use AI tools with your information, tell us and we’ll work without them.
How we use it
- To reply to your enquiry and arrange a conversation.
- To provide our services if you become a client, including keeping records of our calls.
Our lawful basis is our legitimate interest in responding to enquiries, or taking steps at your request before entering into a contract. For call recordings, we rely on your consent, which you can withdraw at any time.
Sharing
We don’t sell your information. We only share it with service providers who help us run the business (for example, email hosting, call recording and transcription, and AI services), and only as far as needed. Some of these providers may process data outside the UK; where they do, we rely on UK adequacy regulations or standard contractual safeguards.
How long we keep it
We keep enquiry details for as long as needed to deal with your enquiry and any resulting work, then delete them. Call recordings are deleted within 90 days once notes have been taken; transcripts and notes are kept for as long as we’re working together and for up to two years afterwards, unless you ask us to delete them sooner.
Your rights
You can ask to see, correct or delete the personal information we hold about you, or object to how we use it. Email us and we’ll respond within one month. You can also complain to the Information Commissioner’s Office (ico.org.uk).
